The Field Service Supervisor Coordinator is responsible for all aspects of service operations including providing support to Branch Field Service Supervisors (FSS) along with Service Business Leaders (SBL)'s in the assigned HBS Profit Centers.
Ensure contracts have current Asset Lists
Coordinate with Branch FSS's to ensure Contract Renewals are reviewed within 60 days of the termination date
Monitor the Global Contract Renewal site to ensure all approvals have been received and contracts are sent to the customer's thirty days in advance of the termination date
Monitor and Reduce incidents of Contract being placed on Billing Block due to inconsistencies with the scope, timeliness of submitting renewal proposal to the customers
Follow up with customer's regarding Purchase Authorization (PO's) for Renewal Contracts
Coordinate with FSS's to determine if a contract will be renewed or revised. Ensure Branch FSS completes the appropriate Global Contracts information
Follow up with Approver's to ensure timely approval of contracts
Monitor, Report, Coordination and Participation in the organization and resolution of:
Monitor Invoicing and Work Order Completion
Reviews all customer billings to ensure accuracy
Tracks and maintains records of warranty work
Monitor and collaborate with off-shore Collections and Invoicing Teams to ensure timely performance and quality workmanship is delivered to the assigned Profit Centers
Ensures all safety requirements are met
Ensures all DOT requirements are adhered to
Coordinate with Branch FSS's to ensure accurate records of all field service calls are maintained
Maintains organization and maintenance of field service vehicles and equipment
Performing local branch functions including (but not limited to) maintaining regulator files, organization of documents, customer inquiries, and research for FSS's and SBL
Prepare reports, presentations, data, and maintain files/records/correspondence for meetings
Achieve Service Management Systems Power User Status
Collaborate with Branch FSS's to ensure time completion of Work Orders and SA's
Develop Standard Reports in SMS that will be used to manage the business
Coordinate and/or perform SMS Reconciliation and Updates for new contracts, customers, and employees
Support SBL and FSS with ordering of PPE and General Supplies as necessary
Responsible for reoccurring purchases of Goods and Services such as Parking Passes, EZ Pass, remote storage facilities, etc.
Receives inbound requests for additional material from field and determines proper course of action with purchasing.
Follow up on parts orders for timely delivery.
YOU MUST HAVE
High School Diploma/ GED
2+ years of experience supporting a service operations team
2+ years of experience servicing commercial clientele
2+ years of experience with Microsoft Office
Valid Driver's License
Bachelor's Degree or higher
Experience in controls, mechanical, fire and security industry
Experience with a P&L
Experience dealing with customer satisfaction (growth and problem resolution)
Excellent communication skills
Strong organizational skills
Demonstrated ability to influence at varying levels across the organization
Ability to use experience to appropriately apply the established standards
